QuickBooks has announced upcoming changes that will affect user limits, chart of accounts, and class/location tracking across its subscription plans. These changes will come into effect on 31 March 2025, and if no action is taken by this date, your QuickBooks subscription may be suspended.
If your current usage exceeds the new limits, it’s essential to take steps now to avoid disruption.
QuickBooks is introducing specific limits for each subscription level. These will affect how many users you can have, how many accounts can exist in your chart of accounts, and how many classes and locations can be set up.
Here’s a summary of the updated limits for each plan:
Simple Start | Essentials | Plus | Advanced | |
Billable users | 1 | 3 | 5 | 25 |
Chart of accounts | 250 | 250 | 250 | Unlimited |
Classes & locations | Not available | Not available | 40 | Unlimited |
If you’re using more than the allowed number of users or accounts—or if you’re a Plus subscriber with a class/location structure—you’ll need to review and adjust your QuickBooks setup.
While classes and locations have always been exclusive to Plus and Advanced subscriptions, this is the first time a limit of 40 will be applied to the Plus plan.
Advanced subscribers will continue to have unrestricted access to these features.
QuickBooks has warned that if your account exceeds the new limits after 31 March 2025 and you haven’t made the necessary changes, your subscription will be suspended. This means you’ll lose access until your file is brought back within the limits or upgraded to a suitable plan.
